Your information

Privacy policy

How we handle the information you share, from a first enquiry to a private diagnostic.

01

Who this notice covers

Problem Solved SA provides education consultancy services. This notice covers enquiries, diagnostic access requests and the private diagnostic workspace. For privacy questions, contact info@problemsolvedsa.co.za.

02

Information we collect

Forms collect your contact details, role, school or organisation and the context you choose to share. A diagnostic request also asks for province, school type, main challenge, preferred contact method and consent.

For an authorised diagnostic, we record coordinator details, responses, uploaded evidence, submission dates and access status. We also keep enquiry references, consent records and payment references or status. PayFast handles payment details on its own checkout; our forms do not ask for card numbers.

03

Why we use it

We use information to respond to you, assess your school’s needs, arrange access, deliver agreed services, administer payments and maintain necessary service and legal records. Access to the private workspace is restricted to authorised participants and administrators.

Submitting an enquiry is not an opt-in to unrelated marketing. Where processing requires consent, you may contact us to withdraw it; this does not undo processing already lawfully carried out.

04

Service providers and sharing

Our website and Studio are hosted on Vercel. Sanity manages website content; private enquiries, diagnostic responses and evidence are stored separately in Supabase. Authorised administrators access these records through our management tools. Email is sent through our hosted mailbox, and PayFast processes payments.

Providers may process information outside South Africa. Applicable cross-border safeguards must be considered when using these services. We may disclose information when required by law. We do not publish your enquiry or diagnostic responses as website content.

05

Browser storage and technical records

The public diagnostic request saves an unfinished draft in local browser storage. Submitting it, starting over or clearing browser storage removes that draft. On a shared device, clear your draft before leaving.

The private workspace uses browser session storage for sign-in credentials, not diagnostic answers. Saved answers remain in the private service. Authorised content preview may use cookies. Hosting and service providers may retain technical and security logs. We do not currently use advertising cookies or website analytics.

06

Learners and evidence

These forms and the coordinator workspace are intended for adults acting for a school or organisation. Remove learner names and other identifying details from evidence before uploading. Do not upload class lists, marks schedules or unnecessary sensitive information.

Only provide materials you are authorised to share. If identifiable learner information is needed for a future service, separate arrangements must be agreed first. During sandbox testing, use synthetic, anonymised material only.

07

Retention and protection

Records are kept for the purposes of the enquiry or agreed service and applicable legal requirements. Our organisation-specific retention schedule is being finalised; there is currently no automatic deletion timetable for diagnostic evidence.

Restricted access, private storage and expiring file-access links help protect records. No online service can guarantee absolute security. Contact us if you believe information has been shared incorrectly or your access link has been compromised.

08

Your rights and contact

You may request access to your personal information, correction of inaccurate information, deletion where applicable, or object to processing. We may need to verify your identity and explain any lawful reason for retaining a record. Email info@problemsolvedsa.co.za.

You may also raise a concern with South Africa’s Information Regulator. This notice will be updated as our services or processing arrangements change.
